reservation system for hair salons and barbershops

Hair salons and barbershops are businesses where customers rely on regular visits and a personal approach. Today, online booking is something clients simply expect – they decide when to come, who to book with, and which service to choose directly from their phone or computer. For operators, this means less stress, a clear overview of how busy each stylist or barber is, and an end to manually juggling appointments in a paper diary.

What needs to be addressed ...
  • Coordinating appointments for multiple hairstylists or barbers sharing one salon.
  • Different service types and durations – from a quick haircut and coloring to comprehensive care.
  • Reminding clients of their appointments to minimize no-shows and late arrivals.
  • Collecting information about clients and their preferences before the visit itself.
  • Different service prices based on the stylist’s experience or the length or complexity of the treatment.

A hair studio or barbershop relies on precisely scheduled appointments – every chair has value, and every unused half hour means lost revenue. Online booking makes this process significantly more efficient - customers choose an available time themselves, select their preferred stylist, and book a specific service straight away. It eliminates the need for operators to constantly answer phone calls or messages on social media and ensures that appointments can be booked around the clock – even when the salon is fully booked or closed. The system automatically monitors the availability of every stylist and workstation, so scheduling conflicts simply cannot occur. It also sends customers a booking confirmation and a reminder the day before their visit, significantly reducing the number of no-shows. Custom forms allow operators to obtain key information from customers in advance – for example, whether it is their first visit, which color or technique they would like, or whether they have specific preferences regarding how the service is performed. Providing relevant information before the client even sits in the chair saves time during the consultation and increases overall client satisfaction.

The profitability of a hair salon or barbershop largely depends on customer loyalty – most revenue comes from regular clients who return every four to six weeks. Customer records providing an overview of their previous services, favorite techniques, and preferred stylist make it possible to offer a personalized approach and build long-term relationships. Online payment or an upfront deposit also helps reduce the number of no-show bookings – customers who have paid will either cancel or show up. Rating surveys sent automatically after each visit help build an online reputation and collect feedback that is invaluable for the salon’s growth.

Key features for hair salons and barbershops

A hair salon or barbershop is an environment where a personal approach goes hand in hand with precise organization. The selected features cover the entire customer lifecycle – from the first online booking through automated communication, payment, and preference tracking to building a loyal customer base and the salon’s online reputation.

Collision protection

Resources are a key element of how the whole reservation system works. Thanks to them, the system can automatically make sure that two reservations requiring the same resource – employee, place, or service – never overlap.

Collision protection

more in the documentation

Let the reservation system automatically make sure you never have two reservations overlapping at the same time if they use the same resource. Thanks to collision protection, there's no problem creating a complex range of events and services while still ensuring effective management of reservations for the same time slot.

Resources (service, employee, place) in the reenio system serve not only as the informational basis for the range of events, their filtering, and navigation, but also as an important element in automating the whole reservation process. Thanks to collision protection, the system automatically evaluates whether a reservation can be created at a given time, or whether it would cause a collision due to the resources involved already being booked – for example, if a sauna would be booked at the same time by another reservation, but for a different service.

If you want to make reservations really efficiently, and want to offer your customers different options, services, prices, etc., then collision protection is definitely a feature worth understanding and getting right. For example, if you run a tire shop and car wash with 3 bays, thanks to collision protection you can offer different services (events) across the bays, and if a customer books one service in bay 1, no other reservation for the same time can be created for bay 1. And the reservation system takes care of exactly this automatically.

Collision protection is available for almost all event types. It cannot be used to protect against collisions at the level of individual seats in a seat map.

Event: Custom time

A reservation type where the emphasis is on a high degree of flexibility in timing. It allows dynamic definition of time windows, where the customer chooses the length of the reservation, its start time, capacity, and so on.

Event: Custom time

more in the documentation

Offer customers a booking at exactly the time that works for them and for you – they don't have to fit into predefined time blocks like with the Interval type; they simply choose the start and length according to the event's settings.

With the Any time event type, you define a time window within which a booking is possible, and further settings determine in what time increments a reservation can start and how long it can last. This is suitable where opening hours are the basis, and it's typically used for providing various services such as renting spaces, massages, hairdressing, tanning, or personal meetings.

Combined with collision protection, this type offers a very flexible way to offer various services, at different prices and with different durations, in such a way that booking one service blocks the offering of other services at the same time.

Customer database

An overview of your customers, their details, and history is key to any business. The customer database not only records this data but also provides tools for communication, data export, and meeting GDPR requirements.

Customer database

more in the documentation

Keep a clear customer database with a reservation history and a whole range of related tools. The reenio system automatically builds the customer database based on reservations made or direct registration. A registered customer gains the ability to log in and manage their reservations directly within the reservation page. If customer credit is used, they can see their balance within their account and top it up online.

Depending on your settings, a reservation can also be allowed without registration, simply by entering an e-mail address or phone number, which is especially suitable where you don't expect one specific customer to use the reservation system regularly and often.

A well-maintained, extensive customer database is an important marketing tool. The system offers the option of bulk sending e-mail or SMS messages, which is useful for reaching customers with a new offer, a discount campaign, but also operational information or as part of crisis management.

The customer database naturally contains personal data, which today requires a certain approach to how it's handled and protected. The reservation system allows you to set up automatic deletion of personal data after a chosen period, and also keeps track of customer requests to have their data deleted. This makes it easier to meet GDPR requirements in line with the rules defined for your particular business.

If you need to import a customer database from another system or a manually maintained spreadsheet, that's no problem – an existing customer list can be easily and smartly imported into the reenio system.

Flexibility of resources and events

Resources and events let you create various combinations of events, services, or places within a single reservation page. Under one roof, you can effectively cover a one-off large event as well as regular hourly bookings.

Flexibility of resources and events

more in the documentation

Run an arbitrarily varied range of services on a single reservation page – one-off events, recurring courses, space rentals, and ticket sales all at the same time? The reenio reservation system can cover even these complex business models.

The reenio reservation system is not limited to just a single type of offering – within one page, you can create any number of resources (places, services, employees) and assign each of them the type of event that best suits that particular offering. This means an hourly court rental via interval events, a monthly yoga course as a full sequence, a one-off seminar as a full single event, and the sale of punch cards or gift coupons, can all run side by side – all on one reservation page and in one administration.

Clarity for such a varied offering is provided by a navigation hub, which can be set up as a multi-step guide, walking the customer through it step by step (e.g. first choosing a service, then an employee or branch).

Last but not least, thanks to collision protection over time, the system also automatically makes sure the same resource (e.g. a specific employee or room) never ends up in two reservations at once, even when it's used across different event and resource types.

Online payments

Being able to pay for a reserved service through an online payment gateway is now the standard. Customers today are used to paying quickly and securely in online shops and expect the same comfort when booking or ordering services online.

Online payments

more in the documentation

Let customers pay for their reservation or tickets online right away, before the service is provided – faster, more convenient, and with the certainty that the reservation will be paid, and therefore used.

The reenio system allows you to require prepayment as part of the booking process, so a customer's reservation only becomes valid once paid. You decide yourself whether online payment is mandatory, or whether you leave it up to the customer to pay on site. With mandatory payment, you can set a deadline by which a new reservation must be paid, otherwise it is automatically cancelled and the slot is released for another customer.

For online payments you can choose from several supported payment gateways. The reservation system then handles the technical connection and communication with the chosen gateway, but all business and formal matters are handled directly with the payment gateway provider – you keep the money you receive under your own control, in your own merchant account.

  • GoPay

An online payment gateway offering a wide range of payment methods, from card payments to fast bank transfers, Apple Pay, or Google Pay.

  • Comgate

Another Czech payment gateway that also operates in other European countries. Its payment methods vary and cover common needs.

  • Stripe

A global payment gateway that is becoming increasingly popular. It offers fast integration and approval, so you can start accepting payments within minutes.

  • Bank transfer

A special type of payment method where the reservation system itself can generate a QR code for payment and then automatically verify and match received payments.

After a successful payment, the system automatically marks the reservation as paid and generates and sends the customer a payment document. The reenio system offers a wide range of options and features for working with payments, including exports, refunds, and more. However, it should be noted that reenio itself is not an accounting system.

Custom booking forms

When the standard details collected from a customer during booking aren't enough, the solution is simple. Booking forms can be extended with custom fields that a customer may or must fill in while booking.

Custom booking forms

more in the documentation

Find out everything you need about customers right at the time of booking – extend the standard form with your own fields and tailor the form to a specific event and type of service.

Custom booking forms let you extend the standard reservation form (name, e-mail, phone) with any additional fields your business needs – from checkboxes, through selecting from options, entering text, all the way to uploading a file (e.g. a photo of the customer or a scanned confirmation). It's also possible to collect specialized data, where the system takes care of validating the correct format.

Individual custom fields can be required, or only shown based on the reserved capacity or a previously selected value. A special group is formed by form fields that affect the reservation price – which makes it easy to handle, for example, a surcharge for renting equipment, a discount for members, or a price adjustment for an above-standard scope of service.

A form can be assigned to a single event, or set globally so it automatically applies to all events on the reservation page. Working with custom forms is therefore very simple while also offering very broad possibilities for use.

Data entered in a custom booking form is saved as part of the specific reservation and can also be included in an export to Excel, and worked with further as needed.

Dynamic pricing

Conditional prices, price variants, discount codes, and so on – this is all part of the extensive options for how the price of a reservation is calculated. Combined with online payment, it's a significant business and marketing tool.

Dynamic pricing

more in the documentation

Set prices for customers exactly to match your offering – different customer categories, discounts for longer bookings or bookings made well in advance, discount coupons, and any combination of all of these.

The price of a reservation in the reenio system doesn't have to be just a single fixed number – the system provides tools to price your offering intelligently and precisely, in line with how your business works. You can set different pricing categories, for example admission for an individual or a family, which are then automatically factored into the reservation based on the customer's choice.

On top of that, you can tailor the price to the specific circumstances of the reservation – for example, giving a discount to customers who book well in advance, or setting a different rate for a longer stay or rental. Thanks to a custom booking form, you can then easily offer add-on services or a discount for a selected group of customers.

For marketing campaigns and controlled access to selected events, discount coupons are useful, with their own settings for validity and number of uses – whether it's a one-off promotion, a loyalty discount, or a closed group for whom you only open up an event when the corresponding code is used.

The power of this pricing approach lies in the fact that all these tools can be combined and used together as needed. The final price always reflects exactly how you want to offer your services and what the customer themselves chooses.

Google Calendar sync

Having a clear overview in a calendar is an important part of organizing time, especially with online reservations. Thanks to synchronization, you can keep your Google Calendar up to date, and conversely block off time within the range of events on offer.

Google Calendar sync

more in the documentation

Calendar synchronization lets you connect the reenio system with an external calendar. This is typically a connection with Google Calendar, and is set up simply by logging in with your Google account and granting access.

Reservations created in the reenio system will appear in your calendar, but the reverse doesn't happen – reservations aren't created from events in your Google Calendar (the booking process is complex enough that a calendar event alone isn't sufficient). In the other direction, i.e. from Google Calendar into the reenio system, synchronization is therefore only limited – events can be synchronized as time blocks, so that no new reservation can be created for that particular date and time.

Customer reviews

Feedback from customers is very important. Automatically sending a satisfaction survey shortly after a reservation takes place is thus a very powerful tool that fits well into the overall marketing of a business.

Customer reviews

more in the documentation

Want to know how satisfied your customers are? Just send them a request for a review once the event has ended. The reservation system can help with this and can automatically send, store, and process satisfaction surveys from customers.

Gathering feedback works by combining two features – a review form and custom messages. The review form defines the custom questions of various types that you want answers to, as well as a star rating. This form can then be linked to a custom message, which ensures it's sent to the customer according to defined rules and based on a specific event.
