reservation system for sightseeing tours

Sightseeing tours – from historical city tours and nature excursions to themed cultural trips – are a popular leisure activity for individuals, families, and organized groups. However, organizing them places specific demands on guides and tour operators - schedules, transportation capacity, guide availability, participant payments, and pre-departure communication all add up to a considerable administrative burden. The greater the interest in the tours, the more emails, phone calls, and errors arise from manually managing registrations – and this is precisely where a reservation system provides a natural and effective solution.

What needs to be addressed ...
  • Managing tour capacity based on the size of the vehicle or tour group.
  • Offering multiple dates for the same tour to accommodate different departure dates or groups.
  • Collecting the contact and personal details of all participants before departure.
  • Accepting payments from participants online or by bank transfer.
  • Communicating with customers – meeting place and time, what to bring, and any changes to the itinerary.
  • Offering multi-day stays and tours with full-day reservations.

Organizing sightseeing tours may seem simple at first – you set the route, choose a guide, schedule a date, and wait for registrations. In practice, however, you soon encounter situations where one date is a few participants short, while another attracts more interest than the bus can accommodate, and in the meantime, questions about what to bring or exactly where to meet keep piling up. An online reservation system shifts this coordination to the customer – they choose a suitable date, pay online, and receive an automatic confirmation containing all the necessary information. The operator can then see in real time how many places remain, who has paid, and whose payment is still pending, without having to manually re-enter or look up anything. There is no longer any need to manage registrations manually in spreadsheets, search through bank statements, or repeatedly answer the same questions over the phone. For guides and agencies that run tours regularly or offer multiple destinations and routes, having a clear overview of dates and participants in one place is a decisive advantage over a manual approach. Customer data – email addresses, phone numbers, or interest in specific types of tours – also provides a foundation for building a loyal community that can be contacted directly and selectively when new dates become available.

Sightseeing tours also have strong potential in the corporate sector – team-building excursions, educational trips, and cultural programs for employees represent a growing market with different requirements from individual tourism. Multi-day trips or international tours require reservations spanning days and nights, while customers appreciate being able to secure their place and pay immediately once they have made their decision. Forms for collecting participant information – such as route difficulty, preferred guide language, dietary restrictions, or experience with similar activities – make it easier to prepare for and run the tour without the need for further inquiries. Automatic reminders sent before departure significantly reduce the risk of customers forgetting the date, arriving late at the meeting point, or coming unprepared. For international customers, the language accessibility of the reservation page also matters – tourists from different countries appreciate being able to make a reservation in their own language without having to send emails or make phone calls. Collecting post-tour feedback and tracking reservation sources helps guides and agencies improve their offerings, build their reputation, and decide which destinations are worth expanding and which are unlikely to fill up. The result is an operation where organizers spend considerably less time on administration and more time preparing the tour itself and taking care of the customer experience.

Key features for sightseeing tours

A reservation system for guides and tour operators must do more than simply accept registrations. Managing dates across different destinations and trip lengths, automating communication before departure and after the return, and providing an overview of participant payments – all of this comes together in a single operational system that saves both guides and customers time and prevents unnecessary misunderstandings.

Online payments

Being able to pay for a reserved service through an online payment gateway is now the standard. Customers today are used to paying quickly and securely in online shops and expect the same comfort when booking or ordering services online.

Online payments

more in the documentation

Let customers pay for their reservation or tickets online right away, before the service is provided – faster, more convenient, and with the certainty that the reservation will be paid, and therefore used.

The reenio system allows you to require prepayment as part of the booking process, so a customer's reservation only becomes valid once paid. You decide yourself whether online payment is mandatory, or whether you leave it up to the customer to pay on site. With mandatory payment, you can set a deadline by which a new reservation must be paid, otherwise it is automatically cancelled and the slot is released for another customer.

For online payments you can choose from several supported payment gateways. The reservation system then handles the technical connection and communication with the chosen gateway, but all business and formal matters are handled directly with the payment gateway provider – you keep the money you receive under your own control, in your own merchant account.

  • GoPay

An online payment gateway offering a wide range of payment methods, from card payments to fast bank transfers, Apple Pay, or Google Pay.

  • Comgate

Another Czech payment gateway that also operates in other European countries. Its payment methods vary and cover common needs.

  • Stripe

A global payment gateway that is becoming increasingly popular. It offers fast integration and approval, so you can start accepting payments within minutes.

  • Bank transfer

A special type of payment method where the reservation system itself can generate a QR code for payment and then automatically verify and match received payments.

After a successful payment, the system automatically marks the reservation as paid and generates and sends the customer a payment document. The reenio system offers a wide range of options and features for working with payments, including exports, refunds, and more. However, it should be noted that reenio itself is not an accounting system.

Event: One single event

The easiest event type to set up and use, offering a booking for a specific, fixed time from and to, including an optional capacity limit. A customer always books the entire listed event.

Event: One single event

more in the documentation

Offer customers a reservation for a fixed time slot with a limited capacity – ideal wherever more than one person needs to be able to attend an event, but not more than you're able to serve.

With the Full single event type, a customer always books the whole event as set, i.e. a fixed time slot from – to, with no option to choose a custom time. This is typically an event with a higher capacity, taking place at a fixed time – suitable for sports events and lessons, seminars, lectures, concerts, exhibition openings, one-off courses, workshops, or tours.

For this type you can also enable a so-called waiting list, where a customer can still express interest in booking even after all available capacity has been used up. This event type also supports creating recurring reservations and supports online events.

Custom booking forms

When the standard details collected from a customer during booking aren't enough, the solution is simple. Booking forms can be extended with custom fields that a customer may or must fill in while booking.

Custom booking forms

Find out everything you need about customers right at the time of booking – extend the standard form with your own fields and tailor the form to a specific event and type of service.

Custom booking forms let you extend the standard reservation form (name, e-mail, phone) with any additional fields your business needs – from checkboxes, through selecting from options, entering text, all the way to uploading a file (e.g. a photo of the customer or a scanned confirmation). It's also possible to collect specialized data, where the system takes care of validating the correct format.

Individual custom fields can be required, or only shown based on the reserved capacity or a previously selected value. A special group is formed by form fields that affect the reservation price – which makes it easy to handle, for example, a surcharge for renting equipment, a discount for members, or a price adjustment for an above-standard scope of service.

A form can be assigned to a single event, or set globally so it automatically applies to all events on the reservation page. Working with custom forms is therefore very simple while also offering very broad possibilities for use.

Data entered in a custom booking form is saved as part of the specific reservation and can also be included in an export to Excel, and worked with further as needed.

Bank transfer payments

If it doesn't matter how long a payment for a reservation takes, a system-generated bank transfer can be a suitable solution. The system generates the payment details itself, and the customer simply makes a standard transfer from their account.

Bank transfer payments

more in the documentation

Offer customers a classic bank transfer payment option too, for cases where you don't need instant confirmation – ideal for reservations made well in advance.

Bank transfer payment in the reenio system is especially useful where the deadline for mandatory payment of a reservation is three days or more, or where payment isn't a condition for the reservation to be created at all. The advantage of this approach is that everything happens purely within the reservation system and the bank, without needing an online payment gateway set up. Another advantage is lower costs for processing payments. The downside, on the other hand, is that checking, synchronizing, and the speed of payments is more complex.

The system provides the customer with the payment details (account number, amount, variable symbol – also in the form of a popular payment QR code) needed to send the payment, and based on the variable symbol, the payment can then be traced and matched to a specific reservation or, in the case of gift coupons, a purchase. Matching can be done manually directly in the administration, or automatically – you just need to set up your supported bank to send notifications of incoming payments to a unique e-mail address. As soon as such a notification arrives from the bank, the system matches the payment based on the variable symbol and marks the reservation as paid itself.

Bank transfer is usually also available as one of the methods within the online payment gateway, though in that case enabling it is more of a complication, since it combines completely different payment methods into a single solution. As with other payment methods, the system automatically issues and sends the customer the relevant accounting document the moment the payment is matched.

Notifications

Keeping customers informed is one of the key functions of any system. The ability to send a customer confirmation of a reservation being created, cancelled, or paid, or a reminder about it, is thus an integral part of the reenio system.

The reservation system can automatically inform customers, as well as admins and employees, about what's happening around reservations – you can set up system notifications according to your needs and the way you operate.

System notifications are automatic e-mails and SMS messages that the system sends on behalf of your reservation page without any further action on your part. These include confirmation of a successful reservation, confirmation of cancellation, confirmation of payment, reservation approval, a PDF with reservation codes, a reminder of an upcoming event, and more.

For each event type in the settings, you determine which channel it should be sent through – e-mail, SMS, or both – and, if relevant, how far in advance. For example, a reminder about an upcoming event can be sent 24 hours and also 3 hours in advance. Sending, of course, assumes you have the corresponding customer contact details available.

  • For customers

All communication and information from the system to the customer, including a reminder so a reservation doesn't lapse unnecessarily.

  • For administrators

To provide a basic overview of what's happening in the system without needing to constantly check and log into the administration.

  • For employees

Ideal when a specific employee needs to be notified that a reservation for their services has been made and they need to plan for it.

Unlike custom messages, these are messages with a fixed, predefined content reflecting reservation information – their content or form cannot be freely edited, only when and to whom they are sent can be configured.

Multi-language support

The system supports several languages, both in the administration and on the reservation page. This lets you tailor the booking process for customers from different countries, in different languages at the same time.

Multi-language support

more in the documentation

Reach and communicate with your customers in their own language, whether they're booking from your home country or from abroad – the reservation page and the entire administration can run in multiple language versions at the same time. 4 supported languages are available for the administration, and 7 languages are available for localizing the reservation page.

Custom content that you enter into the system yourself (terms and conditions, resource descriptions, event names, homepage information, etc.) needs to be translated and provided by you. The system offers a clear way to manage information across multiple languages.

Event: Multiple days

Rental businesses, equipment hire, or accommodation – these are typical areas where this event type is a good fit. It allows you to create reservations for whole days or nights, with both the booking process and the price calculation adapted accordingly.

Event: Multiple days

more in the documentation

Offer customers a booking for several consecutive days at once – ideal for rentals and accommodation, which are usually counted in nights or days rather than hours.

This event type lets a customer book one or more consecutive days. In this case, the definition of the events follows on from each other (based on resources), and the system can automatically link such events together. This makes it easy to set, for example, a different price for different days – typically a higher price for weekend accommodation compared to weekdays. Combined with conditional pricing, pricing within this event type can therefore be very flexible.

It's particularly suited to accommodation and space rentals, but you'll also find it useful for all kinds of rental businesses – cars, campervans, e-bikes, or other equipment, where price and availability are calculated at the level of days or nights. By setting a minimum and maximum reservation length, you can easily offer a weekly or weekend rental.

Customer database

An overview of your customers, their details, and history is key to any business. The customer database not only records this data but also provides tools for communication, data export, and meeting GDPR requirements.

Customer database

more in the documentation

Keep a clear customer database with a reservation history and a whole range of related tools. The reenio system automatically builds the customer database based on reservations made or direct registration. A registered customer gains the ability to log in and manage their reservations directly within the reservation page. If customer credit is used, they can see their balance within their account and top it up online.

Depending on your settings, a reservation can also be allowed without registration, simply by entering an e-mail address or phone number, which is especially suitable where you don't expect one specific customer to use the reservation system regularly and often.

A well-maintained, extensive customer database is an important marketing tool. The system offers the option of bulk sending e-mail or SMS messages, which is useful for reaching customers with a new offer, a discount campaign, but also operational information or as part of crisis management.

The customer database naturally contains personal data, which today requires a certain approach to how it's handled and protected. The reservation system allows you to set up automatic deletion of personal data after a chosen period, and also keeps track of customer requests to have their data deleted. This makes it easier to meet GDPR requirements in line with the rules defined for your particular business.

If you need to import a customer database from another system or a manually maintained spreadsheet, that's no problem – an existing customer list can be easily and smartly imported into the reenio system.

Marketing tools

Growing a business isn't just about the range of services and pricing, but also about marketing. Within the reservation system, this can take various forms, from measuring traffic to automatically sending customers a satisfaction survey.

Marketing tools

Connect your reservation page with Google Analytics or the Facebook Pixel and track how successful your campaigns are, gaining important data. At the same time, you can use the system to communicate with customers in an automated and efficient way, retaining them, motivating them, or gathering feedback.

You can add tracking code for Google Analytics, the Facebook Pixel, or similar tools to your reservation page, and track visitor behaviour as well as conversions from advertising campaigns.

The reenio reservation system also offers a whole range of tools for staying in touch with customers at different stages of the customer lifecycle. For example, using custom messages, you can automatically send a satisfaction survey shortly after an event ends and gather feedback without having to reach out to customers manually. In the same way, a customer who hasn't made a booking for a while can be encouraged to return with a reminder or offer, or you can wish them a happy birthday or name day and add a gift coupon straight away. Thanks to tags, customers can also be automatically sorted according to which service they used, and you can work with them further in a targeted way as part of your own marketing activities.
