booking system for consultants

Consultants in finance, architecture, artificial intelligence, or cybersecurity have one thing in common—their time is their most valuable resource. Short, focused consultations are an effective form of advisory service, but organizing them can be surprisingly challenging. Every missed phone call, every unconfirmed email, and every forgotten meeting represents a loss—whether of income or reputation. An online booking system brings order to the schedule and allows clients to book time exactly when they need it.

What needs to be addressed ...
  • Offering consultation slots of varying lengths based on the topic and the client’s needs.
  • Preventing clients from booking a time that is already taken in the calendar.
  • Collecting preliminary information about the consultation topic before the meeting itself.
  • Automatic confirmations and reminders.
  • Support for online consultations with authenticated access.
  • Managing different types of consultations through a single booking page.
  • Keeping client records and their consultation history..

Consulting work is built on trust and preparedness—and both begin before the meeting itself. The shorter the consultation, the more important it is for everything to go exactly as planned. If the client arrives unprepared or the consultant does not know the topic in advance, the effective meeting time is reduced to a minimum. An online booking system addresses this issue when the appointment is selected—the client chooses the length and type of consultation, fills out a form with the topic and specific questions, and receives immediate confirmation. When synchronized with Google Calendar, the new booking is automatically added to the work schedule and the relevant time is blocked off—preventing two meetings from overlapping or a client from booking a slot that is actually unavailable. For consultants working with sensitive topics—whether financial planning, a security audit, or an architectural project—it is important for the entire booking process to appear professional and trustworthy. A booking page integrated into a personal or company website adds credibility, gives clients peace of mind, and saves time that would otherwise be spent coordinating arrangements in advance. And because specialists in these fields are often sought outside standard working hours, online booking is available around the clock—clients can reserve a time whenever it occurs to them, not just when the consultant answers the phone.

Consultations in fields such as cybersecurity, AI strategy, or financial advice are unique in that every client brings a different problem, level of knowledge, and set of expectations. A well-designed booking form can collect this information before the meeting—allowing the consultant to arrive prepared instead of spending the first ten minutes clarifying the basics. This is doubly important for short appointments. Online consultations are a natural choice for these sectors—a client in Prague can consult an architect in Brno or a security specialist in Ostrava without unnecessary travel. A system with authenticated access ensures that only the client who made the booking can join the consultation, without access links being shared via email and without the risk of unauthorized entry. For consultants who offer both free introductory consultations and paid advisory sessions, it is useful to have different appointment types with varying lengths and prices in the system—as well as optional online payment directly at the time of booking. Automatic reminders significantly reduce the number of no-shows, which are particularly frustrating for short meetings—an occupied slot without the client present is time that cannot be used otherwise. A client database containing the complete consultation history then enables seamless follow-ups and makes it possible to track how the working relationship develops without searching through old email conversations or remembering details from previous meetings.

Key features for consultants

A booking system for consulting work covers the entire cycle, from the initial contact and the meeting itself to client records and the history of the working relationship. With support for appointments of different lengths, online meetings, and automated communication, consultants spend less time organizing and more time actually working with clients.

Google Calendar sync

Having a clear overview in a calendar is an important part of organizing time, especially with online reservations. Thanks to synchronization, you can keep your Google Calendar up to date, and conversely block off time within the range of events on offer.

Google Calendar sync

more in the documentation

Calendar synchronization lets you connect the reenio system with an external calendar. This is typically a connection with Google Calendar, and is set up simply by logging in with your Google account and granting access.

Reservations created in the reenio system will appear in your calendar, but the reverse doesn't happen – reservations aren't created from events in your Google Calendar (the booking process is complex enough that a calendar event alone isn't sufficient). In the other direction, i.e. from Google Calendar into the reenio system, synchronization is therefore only limited – events can be synchronized as time blocks, so that no new reservation can be created for that particular date and time.

Custom booking forms

When the standard details collected from a customer during booking aren't enough, the solution is simple. Booking forms can be extended with custom fields that a customer may or must fill in while booking.

Custom booking forms

Find out everything you need about customers right at the time of booking – extend the standard form with your own fields and tailor the form to a specific event and type of service.

Custom booking forms let you extend the standard reservation form (name, e-mail, phone) with any additional fields your business needs – from checkboxes, through selecting from options, entering text, all the way to uploading a file (e.g. a photo of the customer or a scanned confirmation). It's also possible to collect specialized data, where the system takes care of validating the correct format.

Individual custom fields can be required, or only shown based on the reserved capacity or a previously selected value. A special group is formed by form fields that affect the reservation price – which makes it easy to handle, for example, a surcharge for renting equipment, a discount for members, or a price adjustment for an above-standard scope of service.

A form can be assigned to a single event, or set globally so it automatically applies to all events on the reservation page. Working with custom forms is therefore very simple while also offering very broad possibilities for use.

Data entered in a custom booking form is saved as part of the specific reservation and can also be included in an export to Excel, and worked with further as needed.

Event: One single event

The easiest event type to set up and use, offering a booking for a specific, fixed time from and to, including an optional capacity limit. A customer always books the entire listed event.

Event: One single event

more in the documentation

Offer customers a reservation for a fixed time slot with a limited capacity – ideal wherever more than one person needs to be able to attend an event, but not more than you're able to serve.

With the Full single event type, a customer always books the whole event as set, i.e. a fixed time slot from – to, with no option to choose a custom time. This is typically an event with a higher capacity, taking place at a fixed time – suitable for sports events and lessons, seminars, lectures, concerts, exhibition openings, one-off courses, workshops, or tours.

For this type you can also enable a so-called waiting list, where a customer can still express interest in booking even after all available capacity has been used up. This event type also supports creating recurring reservations and supports online events.

Online payments

Being able to pay for a reserved service through an online payment gateway is now the standard. Customers today are used to paying quickly and securely in online shops and expect the same comfort when booking or ordering services online.

Online payments

Let customers pay for their reservation or tickets online right away, before the service is provided – faster, more convenient, and with the certainty that the reservation will be paid, and therefore used.

The reenio system allows you to require prepayment as part of the booking process, so a customer's reservation only becomes valid once paid. You decide yourself whether online payment is mandatory, or whether you leave it up to the customer to pay on site. With mandatory payment, you can set a deadline by which a new reservation must be paid, otherwise it is automatically cancelled and the slot is released for another customer.

For online payments you can choose from several supported payment gateways. The reservation system then handles the technical connection and communication with the chosen gateway, but all business and formal matters are handled directly with the payment gateway provider – you keep the money you receive under your own control, in your own merchant account.

  • GoPay

An online payment gateway offering a wide range of payment methods, from card payments to fast bank transfers, Apple Pay, or Google Pay.

  • Comgate

Another Czech payment gateway that also operates in other European countries. Its payment methods vary and cover common needs.

  • Stripe

A global payment gateway that is becoming increasingly popular. It offers fast integration and approval, so you can start accepting payments within minutes.

  • Bank transfer

A special type of payment method where the reservation system itself can generate a QR code for payment and then automatically verify and match received payments.

After a successful payment, the system automatically marks the reservation as paid and generates and sends the customer a payment document. The reenio system offers a wide range of options and features for working with payments, including exports, refunds, and more. However, it should be noted that reenio itself is not an accounting system.

Customer database

An overview of your customers, their details, and history is key to any business. The customer database not only records this data but also provides tools for communication, data export, and meeting GDPR requirements.

Customer database

more in the documentation

Keep a clear customer database with a reservation history and a whole range of related tools. The reenio system automatically builds the customer database based on reservations made or direct registration. A registered customer gains the ability to log in and manage their reservations directly within the reservation page. If customer credit is used, they can see their balance within their account and top it up online.

Depending on your settings, a reservation can also be allowed without registration, simply by entering an e-mail address or phone number, which is especially suitable where you don't expect one specific customer to use the reservation system regularly and often.

A well-maintained, extensive customer database is an important marketing tool. The system offers the option of bulk sending e-mail or SMS messages, which is useful for reaching customers with a new offer, a discount campaign, but also operational information or as part of crisis management.

The customer database naturally contains personal data, which today requires a certain approach to how it's handled and protected. The reservation system allows you to set up automatic deletion of personal data after a chosen period, and also keeps track of customer requests to have their data deleted. This makes it easier to meet GDPR requirements in line with the rules defined for your particular business.

If you need to import a customer database from another system or a manually maintained spreadsheet, that's no problem – an existing customer list can be easily and smartly imported into the reenio system.

GDPR and similar legislation

Formal requirements and legislation are an inseparable part of any business, especially online. The reservation system helps you implement and meet requirements arising from GDPR, the right of withdrawal from a contract, or reporting illegal content under the DSA.

GDPR and similar legislation

more in the documentation

Run your reservation system in compliance with current legislation without having to track every change in this area yourself – we continuously add features that make it easier to meet your obligations. Of course, in this respect the reservation system is just a tool; legislative requirements and processes must always be grounded in the reality of your business, including outside the online world.

For example, as part of GDPR, the reenio system lets you set up automatic deletion of personal data after a chosen period, or keeps track of customer requests to have their personal data deleted. You can also define your own consents that go beyond the defined legitimate interest, and use them as the basis for, for example, sending marketing communications only to customers who have given direct consent for that.

In response to ongoing changes in legislation and amendments to laws, new features have appeared in the reenio system to make it easier to meet the requirements of the so-called "button law", the requirement for easy withdrawal from a contract, or the ability to report illegal content on the reservation page.

Dynamic pricing

Conditional prices, price variants, discount codes, and so on – this is all part of the extensive options for how the price of a reservation is calculated. Combined with online payment, it's a significant business and marketing tool.

Dynamic pricing

more in the documentation

Set prices for customers exactly to match your offering – different customer categories, discounts for longer bookings or bookings made well in advance, discount coupons, and any combination of all of these.

The price of a reservation in the reenio system doesn't have to be just a single fixed number – the system provides tools to price your offering intelligently and precisely, in line with how your business works. You can set different pricing categories, for example admission for an individual or a family, which are then automatically factored into the reservation based on the customer's choice.

On top of that, you can tailor the price to the specific circumstances of the reservation – for example, giving a discount to customers who book well in advance, or setting a different rate for a longer stay or rental. Thanks to a custom booking form, you can then easily offer add-on services or a discount for a selected group of customers.

For marketing campaigns and controlled access to selected events, discount coupons are useful, with their own settings for validity and number of uses – whether it's a one-off promotion, a loyalty discount, or a closed group for whom you only open up an event when the corresponding code is used.

The power of this pricing approach lies in the fact that all these tools can be combined and used together as needed. The final price always reflects exactly how you want to offer your services and what the customer themselves chooses.

Notifications

Keeping customers informed is one of the key functions of any system. The ability to send a customer confirmation of a reservation being created, cancelled, or paid, or a reminder about it, is thus an integral part of the reenio system.

The reservation system can automatically inform customers, as well as admins and employees, about what's happening around reservations – you can set up system notifications according to your needs and the way you operate.

System notifications are automatic e-mails and SMS messages that the system sends on behalf of your reservation page without any further action on your part. These include confirmation of a successful reservation, confirmation of cancellation, confirmation of payment, reservation approval, a PDF with reservation codes, a reminder of an upcoming event, and more.

For each event type in the settings, you determine which channel it should be sent through – e-mail, SMS, or both – and, if relevant, how far in advance. For example, a reminder about an upcoming event can be sent 24 hours and also 3 hours in advance. Sending, of course, assumes you have the corresponding customer contact details available.

  • For customers

All communication and information from the system to the customer, including a reminder so a reservation doesn't lapse unnecessarily.

  • For administrators

To provide a basic overview of what's happening in the system without needing to constantly check and log into the administration.

  • For employees

Ideal when a specific employee needs to be notified that a reservation for their services has been made and they need to plan for it.

Unlike custom messages, these are messages with a fixed, predefined content reflecting reservation information – their content or form cannot be freely edited, only when and to whom they are sent can be configured.

Online events

Webinars, online courses, or online meetings – these too can be handled effectively with the reservation system. It supports several platforms and is able to secure access to content based on verification using the reservation code.

Running events that are only accessible online? Sell entry to webinars, online courses, or other events that take place purely online, while keeping control over who actually gets access to that content.

An add-on for the Full single event or Coupon event type lets you effectively create a reservation or sell a ticket for an event that doesn't take place physically but rather as an online broadcast or communication – typically a webinar, online workshop, concert, theatre performance, meeting, or online class.

Supported platforms include Youtube, Zoom, or Vimeo, which can be integrated through the reservation page into a secure player. This content protection works so that a customer accesses the online event via their reservation code. The reservation code can be used for the whole duration of the event, and an extension can optionally be set. Importantly, the online content is only accessible with the corresponding restriction and through integration into the reservation page, not on the online platform itself.
